Window Maintenance Services Ltd ("WMS", "we", "us") is a company registered in England and Wales with company number 03723110. Our registered office is Unit 3, Coopersale Hall Farm, Flux's Lane, Epping, Essex, CM16 7PE. We are the data controller for personal information collected through this website, windowmaintenance.co.uk.
The information we collect
This website does not use accounts, tracking pixels or advertising technology. We receive personal information when you choose to contact us:
- details you enter into our enquiry form: your name, contact details, the site address and a description of the job, plus any photos you choose to attach. These are sent securely to our enquiry-management system so the team can respond;
- your name and contact details when you email or call us;
- correspondence history if you become a customer.
How we use your information
We use the information you give us to:
- respond to your enquiry and provide quotations;
- deliver, schedule and invoice for our services;
- meet legal, insurance and warranty obligations.
The lawful bases for this processing under UK GDPR are the performance of a contract (or steps taken at your request before entering one), our legitimate interests in running our business, and compliance with legal obligations. We do not sell personal information and we do not use it for automated decision-making.
How long we keep it
Enquiry correspondence that does not lead to work is deleted within 24 months. Customer records are retained for as long as needed to honour guarantees and meet legal and accounting requirements, typically six years from the end of the relevant tax year.
Cookies
This website sets no cookies of its own. Two third-party Google services are used, and both load only after you accept cookies via the consent banner:
- Google Analytics, which helps us understand how visitors use the site (pages viewed, how you arrived, broad location with IP addresses anonymised). We use this in our legitimate interest to improve the website.
- Google Maps, embedded on our contact page to show our location.
If you choose "essential only", neither service loads: no analytics run, and the map is replaced with a link to Google Maps. Your consent choice is stored in your browser's local storage (not a cookie) and never leaves your device. See Google's privacy policy for how Google processes data.
Sharing your information
Where a project involves one of our vetted trusted trade partners, we share only the details needed to carry out the work. We may also share information with our professional advisers and insurers, and where required by law. Our enquiry-management system is hosted for us by Vercel Inc., which processes submissions solely on our behalf; where this involves a transfer outside the UK, it is protected by appropriate safeguards such as standard contractual clauses.
Your rights
Under UK GDPR you have the right to access, correct, delete and restrict the use of your personal information, to object to processing, and to data portability. To exercise any of these rights, email sales@windowmaintenance.co.uk or call 0800 026 8308. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time; the latest version will always be published on this page with the date above.
